Some of the salespersons in our company will be in attendance as well, so that we may come up with some good ideas while brainstorming this project.(關於您信中所提及的合作案,敝公司很有興趣,能否請您擇日到敝公司一趟,再詳細說明您的想法與執行方案,屆時我會請相關業務同仁一同出席,也許能夠激盪出一些不錯的新合作方式。)

步驟1:由問候語起頭
Dear Kenny,(親愛的肯尼:)
說明
每封電郵的開頭都要有問候語,這很重要。如果你跟收件者(recipient)的關係不是那麼熟稔,那你在問候對方時,最好用的是對方的姓氏(surname),而不是直呼對方的名(first name)。好比說「Dear Mr. Smith,」。
倘若不必那麼拘謹,那你說「Hello Kenny,」就可以了;如果對象是某家公司,或是你不確定對方叫什麼名字,你可以說「To Whom It May Concern,」。
步驟2:向收件者致謝
Thank you for contacting our company.(感謝您跟敝公司聯絡。)
說明
如果你要回覆客戶的問題,就應該先說一些感謝的話。另外,如果有人回你信,務必跟對方說:「Thank you for your reply.」(謝謝回信。)或是「Thanks for getting back to me so soon.」(謝謝您這麼快就回信。)如此一來,收到信的人就會覺得比較輕鬆,寄信的人也會顯得很有禮貌。
步驟3:陳述目的

說明
如果你要寫信給對方(initiating the email),除了在一開始加上感謝詞之外,你也可以開門見山表明目的(purpose),例如:「I am writing to inquire about……」(我致函的目的是要詢問……),或是「I am writing in reference to……」(我致函的目的是……)、「In regards to t……」(關於……)。另外,還有其他開場白(opening lines):
After having seen your advertisement in……, I would like……(我在……看到你們登的廣告,想要……。)
After having received your address from A, I……(A 寄了您的地址給我,我收到了,……)
I received your address from A and would like……(A 寄了您的地址給我,我收到了,想要……)
補充
一開始就要表明寫信的用意,然後再接主文(main text)。記得檢查文法、拼字、標點符號(punctuation),每個句子不要太長(run-on sentences),意思表達清楚,這樣才不會寫出缺乏連接詞連接的句子。
動詞不要縮寫,請使用he is、we are、he would 來代替he's、we're、he'd。如果寫信是為了問問題,你可以這樣寫:
I was just wondering if you had received my request, as I have not heard back from you yet.(我想知道您收到我寄的需求信了嗎?因為我沒收到回信。)
Would you happen to offer a discount for bulk orders?(大宗訂單有折扣嗎?)
